What Is the NHS Fleet Solutions Price List?
An NHS Fleet Solutions Price List is not one fixed national table containing the same vehicle prices for every NHS employee. Available vehicles and quotation amounts can differ according to the participating organisation, vehicle model, lease duration, annual mileage and services included in the proposed agreement.
The comparison calculator on this page allows you to enter figures from up to three current quotations. It then provides a like-for-like view of:
- Base payroll cost over each lease
- One-off costs
- Complete estimated contract cost
- Effective monthly cost
- Equivalent annual cost
- Total included mileage
- Average cost per included mile
- Position against a personal monthly budget
- Difference from the lowest monthly quotation
This approach is more reliable than copying an advertised offer and treating it as a guaranteed price. An employee should use the figures available through their organisation and confirm the final amount before accepting an order.
How to Compare NHS Fleet Solutions Prices
Begin with the estimated monthly net payroll cost shown in each quotation. This is the estimated effect on monthly take-home pay and should not be confused with the vehicle’s list price, P11D value or gross salary-sacrifice amount.
For every quotation you want to compare, enter:
- The vehicle or quotation name
- Estimated monthly net payroll cost
- Lease duration in months
- Annual mileage allowance
- Any known one-off cost
The first quotation is required. The second and third are optional, allowing the calculator to work with one, two or three vehicles.
Enter your personal monthly car budget after completing the quotation details. The calculator will show whether each effective monthly cost is within or above that amount.
If you need to include expected mileage above the allowance and a quoted excess-mileage rate, run the selected option through the NHS Fleet Solutions Calculator. That calculator examines one quotation in greater detail rather than comparing several quoted options.
Three-Quotation Comparison Example
The tested example compares three illustrative quotations. These are demonstration values, not official or currently advertised NHS Fleet prices.
Quotation 1: Electric Hatchback
- Monthly net payroll cost: £284.77
- Lease duration: 36 months
- Annual mileage allowance: 10,000 miles
- One-off cost: £150
Quotation 2: Hybrid SUV
- Monthly net payroll cost: £315.50
- Lease duration: 48 months
- Annual mileage allowance: 12,000 miles
- One-off cost: £0
Quotation 3: Electric SUV
- Monthly net payroll cost: £329.90
- Lease duration: 36 months
- Annual mileage allowance: 15,000 miles
- One-off cost: £300
The personal monthly budget is £320.
For the Electric Hatchback, the base payroll cost is:
£284.77 × 36 = £10,251.72
After adding the £150 one-off cost, its complete estimated contract cost is:
£10,251.72 + £150 = £10,401.72
Its effective monthly cost is therefore:
£10,401.72 ÷ 36 = £288.94
The three-year lease includes:
10,000 × 3 = 30,000 miles
Dividing the contract cost by its included mileage produces an average of approximately 34.67 pence per included mile.
The same calculation gives the following comparison:
| Result | Electric Hatchback | Hybrid SUV | Electric SUV |
|---|---|---|---|
| Complete contract cost | £10,401.72 | £15,144.00 | £12,176.40 |
| Effective monthly cost | £288.94 | £315.50 | £338.23 |
| Equivalent annual cost | £3,467.24 | £3,786.00 | £4,058.80 |
| Included contract mileage | 30,000 miles | 48,000 miles | 45,000 miles |
| Cost per included mile | 34.67p | 31.55p | 27.06p |
| Monthly budget position | £31.06 within | £4.50 within | £18.23 over |
The Electric Hatchback has the lowest effective monthly cost. However, the Electric SUV has the lowest calculated cost per included mile because its agreement includes a larger mileage allowance.
This distinction matters: the lowest monthly payment is not automatically the best value for every driver. Someone expecting higher mileage may prefer a quotation with a higher monthly cost but a lower cost per included mile.
Why Fleet Solutions Prices Can Differ
A quotation can change when any of its underlying assumptions change. Important variables include:
- Vehicle manufacturer and model
- Trim level and optional equipment
- Electric, hybrid, petrol or diesel powertrain
- Contract duration
- Annual mileage allowance
- Vehicle availability
- Employer eligibility requirements
- Insurance terms
- Benefit in Kind treatment
- Salary and marginal tax position
- Services included in the agreement
The official NHS Fleet Solutions website displays available vehicles and special offers, but employees may need to log in before viewing options available to their organisation. Availability dates and offered vehicles can also change.
A price seen by one employee should therefore not be presented as the amount another employee will pay. The personal quotation and employer approval process determine the applicable offer.
Costs That May Be Included in a Fleet Agreement
Depending on the agreement, the regular lease cost may include:
- Motor insurance for eligible named drivers
- Routine servicing
- Breakdown cover
- Replacement tyres
- Vehicle road tax where applicable
- Accident-management support
Review the quotation, insurance documents and driver handbook to confirm the precise coverage and applicable conditions. For instance, tyre replacement due to ordinary wear may be included, whereas tyre damage may incur an extra fee.
Do not add a service cost separately if it is already included in the quotation. Doing so would overstate the estimated contract cost.
Additional Charges to Check Before Ordering
The calculator includes a field for a known one-off cost, but it cannot automatically predict every charge that could arise during the lease.
Review the agreement for possible costs relating to:
- Excess mileage
- Damage beyond acceptable fair wear and tear
- Insurance excess
- Penalties and administration fees
- Neglected servicing requirements
- Tyre damage
- Early termination
- Home-charger installation or relocation
- Changes to the agreed vehicle specification
Early-termination charges are particularly important. Their value can depend on the lease cost, original contract duration and the point at which the agreement ends. The exact amount should be checked on the order form or with the scheme administrator instead of applying a generic percentage.
Unused mileage should not automatically be treated as a refund. Selecting an unnecessarily high allowance could increase the quotation without returning the unused portion at the end.
Price Comparison Versus Payroll Impact
This page compares costs already provided in Fleet quotations. It does not independently calculate Income Tax, employee National Insurance, Benefit in Kind or NHS Pension effects.
Before deciding whether the quoted amount is realistic for your payslip, review the NHS Salary Sacrifice Car Lease calculation. For a separate estimate based on salary, gross sacrifice, vehicle value and BIK assumptions, use the NHS Salary Sacrifice Car Calculator.
The final decision should consider more than the smallest monthly figure. Compare the complete contract cost, expected mileage, services included, pension implications and possible charges if your employment or personal circumstances change.
Other NHS salary, pension and deduction tools are available through the NHS salary calculators website.
FAQs
Q1: Is there one official NHS Fleet Solutions price list for every employee?
A: No. Quotations can vary according to the participating organisation, available vehicles, lease duration, mileage allowance and individual payroll circumstances.
Q2: Are the example prices on this page official offers?
A: No. They are illustrative values used to explain and test the comparison calculation. Obtain a current quotation through the scheme available to your organisation.
Q3: Which figure should I enter as the monthly cost?
A: Enter the estimated monthly net payroll cost shown in the quotation. Do not use the vehicle’s P11D value or retail list price unless the document explicitly identifies that figure as the estimated monthly payroll cost.
Q4: Can I compare quotations with different lease lengths?
A: Yes. The calculator converts each option into an effective monthly and equivalent annual cost. It also displays the complete cost across each quotation’s own contract duration.
Q5: Why can the cheapest monthly option have a higher cost per mile?
A: Its mileage allowance may be lower. A vehicle can have the smallest effective monthly cost while including fewer miles across the contract.
Q6: Does the calculation include excess-mileage charges?
A: No. It compares the mileage included in each quotation. Use the detailed Fleet calculator if you need to compare expected mileage with the allowance and apply an excess-mileage rate.
Q7: Are insurance, servicing and tyres always included?
A: These services may be included, but their exact scope and conditions must be confirmed in the relevant quotation, insurance policy and driver handbook.
Q8: Does the lowest calculated price mean I should choose that vehicle?
A: Not necessarily. Affordability, required mileage, vehicle suitability, included services, pension effects and contract risks should all be considered before accepting an agreement.
Q9: Can Fleet vehicle availability change after I compare quotations?
A: Yes. Vehicle availability and estimated delivery periods can change. Confirm that a quotation remains valid before making a decision.
Q10: Is the comparison an official financial quotation?
A: No. It is an independent estimation tool using the values entered. Your employer-approved quotation and signed agreement determine the final cost.
