How to Use the NHS Fleet Solutions Calculator

Start with the estimated monthly net payroll cost. This should be the estimated amount by which the proposed vehicle may reduce your monthly take-home pay, rather than its P11D value or gross salary-sacrifice amount.

Enter the full lease length in months. A three-year agreement, for example, should be entered as 36 months.

Next, add the annual mileage allowance stated in the proposed agreement and your realistic expected annual mileage. Consider routine commuting, personal journeys and any longer trips you are likely to make. Underestimating mileage can make an apparently affordable quotation more expensive by the end of the contract.

If the documents specify an excess-mileage rate, enter it in pence per mile. The calculator applies this rate only when expected contract mileage exceeds the total included mileage.

You can also enter a known one-off cost and the maximum monthly amount you are comfortable spending. After selecting Calculate, the results show the estimated contract cost and whether its effective monthly value falls within your chosen budget.

Example Using the Calculator Values

The tested example uses:

First, the calculator converts the lease period into years:

36 ÷ 12 = 3 years

The base payroll cost over the lease is:

£284.77 × 36 = £10,251.72


The contract includes the following total mileage:

10,000 × 3 = 30,000 miles

Expected mileage over the same period is:

12,000 × 3 = 36,000 miles

This produces potential excess mileage of:

36,000 − 30,000 = 6,000 miles

At 9 pence per mile, the estimated excess-mileage charge is:

6,000 × £0.09 = £540

After including the £150 one-off cost, the estimated complete contract cost becomes:

£10,251.72 + £540 + £150 = £10,941.72

The equivalent annual cost is:

£10,941.72 ÷ 3 = £3,647.24

The effective monthly cost is:

£10,941.72 ÷ 36 = £303.94

Based on 36,000 expected miles, the average cost is approximately 30.39 pence per mile. Compared with the £325 monthly budget, the estimate remains within budget by £21.06 per month.

The calculator retains the full precision of each value and rounds it only when showing the result, preventing minor rounding variations from building up over the contract period.

What the Estimate Includes and Excludes

The calculation includes only the values entered into its fields. Its starting monthly amount should therefore come from a current quotation relevant to your organisation and chosen vehicle.

Depending on the applicable agreement, a Fleet package may include items such as servicing, breakdown support, replacement tyres and motor insurance. Confirm the precise inclusions, eligibility requirements and driver conditions in your own scheme documents.

The calculator does not automatically add:
